  • Branch: Interview booked → WhatsApp Message node sends calendar invite link and confirmation details. A second Wait node fires 24 hours before the interview slot, sending a reminder: "Reminder: your interview for [Role] is tomorrow at [Time] with [Client]. Here's the Zoom/address link: [link]. Please confirm you can still make it."

Result: Every candidate gets acknowledged in seconds, chased on Day 2 if not progressed, and reminded automatically before their interview. You don't touch this until a human decision is needed.


Workflow 2: Interview Booking Automator

This workflow replaces the 4–6 message scheduling dance with a single automated confirmation loop.

Trigger node (Calendly Webhook): When a candidate books a slot via your Calendly link, the webhook fires with the candidate's name, email, phone number, and selected time.

WhatsApp Message node (to candidate): Immediately sends: "Hi [Name], your interview for [Role] is confirmed for [Day] at [Time]. You'll receive a reminder the day before. If you need to reschedule, use this link: [Calendly reschedule URL]."

WhatsApp Message node (to recruiter): Simultaneously sends you a notification: "Interview booked: [Candidate Name] — [Role] — [Time]. Calendly confirmation sent." No more manually tracking which slots are filled.

Wait node: Fires 24 hours before the interview time (use a DateTime node to calculate the exact trigger time from the booking timestamp).

WhatsApp Reminder node (to candidate): "Hi [Name], just a reminder that your interview is tomorrow at [Time] for [Role]. Reply YES to confirm or use this link to reschedule if needed: [link]."

No-show Handler: A second Wait node fires 15 minutes after the scheduled interview start time. An HTTP Request node checks Calendly's API for whether the event was marked completed. If not completed (no-show):

  • WhatsApp node (to candidate): "Hi [Name], it looks like we may have missed each other. Here's a link to rebook at a time that works for you: [Calendly link]. We'd love to get this rescheduled."
  • WhatsApp node (to recruiter): "No-show alert: [Candidate Name] missed the [Time] slot for [Role]. Reschedule link sent automatically."

Result: Scheduling is self-service. You send one Calendly link. The bot handles confirmations, reminders, and no-show recovery without intervention.

Workflow 3: Onboarding Document Chaser

This workflow tracks every placement's document requirements and chases each missing item individually — no spreadsheet monitoring required.

Trigger node (Google Sheets / Webhook): A new row is added to your "Active Placements" sheet when a candidate accepts an offer. Required columns: CandidateName, WhatsAppNumber, StartDate, ID_Received, TaxCert_Received, BankLetter_Received, Payslips_Received.

WhatsApp Message node (Day 0 — placement confirmed): Sends a WhatsApp checklist to the candidate: "Hi [Name], congratulations on your placement! Google Sheets Read node (Day 3 check): Reads the placement row. For each document column still marked FALSE, the workflow branches.

IF + Switch node (per missing item): Generates a targeted WhatsApp nudge for each missing document specifically — not a generic "please send documents" blast:

  • ID missing: "Hi [Name], we're still waiting on your ID copy. Could you send a photo via WhatsApp or upload here: [link]? We need this before [StartDate]."
  • Tax cert missing: "Hi [Name], we still need your SARS tax certificate. You can download it from SARS eFiling under 'My Compliance Profile'. Let me know if you need help."
  • Bank letter missing: "Hi [Name], your bank confirmation letter is still outstanding. Most banks generate this online via their app — it usually takes 2 minutes. Here's the guide if needed."

Wait node: 4 more days (Day 7 from placement).

Google Sheets Read node (Day 7 escalation check): If any document is still missing:

  • WhatsApp node (to recruiter): "Document alert: [Candidate Name] is starting [Role] on [StartDate] and is still missing: [list of missing docs]. Manual follow-up required."
  • Updates the row status to ESCALATED and flags it in the sheet.
